Clinic Policies

At SKN by Amy Cole, every appointment is carefully prepared for and time is reserved exclusively for you. These policies are in place to protect appointment availability, ensure treatments are carried out safely and provide a fair and consistent experience for every client.

By booking an appointment, you confirm that you have read and agreed to the following policies.

Booking and card details

A valid credit or debit card is required to secure all appointments.

Your card details are stored securely by the booking and payment provider. Your card will not be charged at the time of booking unless a deposit or advance payment is clearly stated.

Your card may only be charged where a cancellation, late reschedule or non-attendance fee applies under the policy below.

By providing your card details and confirming your booking, you authorise SKN by Amy Cole to apply the relevant fee if the cancellation policy is not followed.

Rescheduling and cancellations

SKN by Amy Cole operates a 48-hour rescheduling and cancellation policy.

Appointments can be amended or cancelled through the online booking system up to 48 hours before the scheduled appointment time without charge.

The following fees apply:

  • Requests to cancel or reschedule within 48 hours of the appointment will be charged 50% of the total treatment price.

  • Cancellations made within 24 hours of the appointment will be charged 100% of the total treatment price.

  • Failure to attend an appointment without notice will be charged 100% of the total treatment price.

These charges apply regardless of the reason for the late cancellation. However, genuine emergencies will always be considered fairly and at the clinic’s discretion.

Where an appointment forms part of a prepaid course, pathway or package, the relevant session may be deducted instead of a separate fee being charged.

Repeated late cancellations, appointment changes or non-attendance may result in future bookings requiring full payment in advance.

Late arrival

Please arrive on time for your appointment.

If you arrive late, your treatment may need to be shortened to avoid delaying the next client. The full treatment price will still apply.

If there is no longer enough time to carry out the treatment safely or effectively, the appointment may be treated as a late cancellation and the applicable fee may be charged.

Consultations and treatment suitability

Some treatments require a consultation before they can be carried out.

New advanced skin clients may be required to begin with a SKN Discovery Appointment so that their skin, medical history, current products and treatment goals can be properly assessed.

Booking a treatment does not guarantee that it will be suitable or carried out on the day. Treatments may be adapted, postponed or refused where there is a contraindication, safety concern or concern about the condition of the skin.

Where possible, a suitable alternative treatment may be offered.

Medical information and contraindications

You are responsible for providing complete and accurate information about your health, medication, allergies, pregnancy or breastfeeding status, recent procedures and any changes that may affect treatment suitability.

Please inform SKN by Amy Cole before your appointment if:

  • You have started or changed medication.

  • You are pregnant, breastfeeding or trying to conceive.

  • You have experienced a recent illness, infection, cold sore or skin reaction.

  • You have undergone surgery, injectable treatments, laser treatments or other procedures.

  • Your skin has become irritated, sunburnt, damaged or unusually sensitive.

  • Any information previously provided has changed.

Failure to disclose relevant information may affect the safety and outcome of your treatment.

SKN by Amy Cole reserves the right to refuse or postpone treatment where it would not be safe or appropriate to proceed.

Patch testing and preparation

Certain treatments or products may require a patch test before your appointment.

Where a patch test is required, the treatment cannot proceed unless it has been completed within the recommended timeframe.

You are responsible for following all preparation instructions provided before your appointment. This may include stopping particular skincare ingredients, avoiding tanning or sun exposure, or leaving a suitable period between other treatments.

Failure to follow preparation advice may mean that your treatment needs to be adapted, postponed or cancelled.

Treatment results

Every client’s skin is different and results vary depending on factors including skin condition, medical history, lifestyle, homecare, treatment frequency and adherence to aftercare advice.

While treatments and recommendations are selected carefully, specific results cannot be guaranteed.

Advanced skin treatments often require a course of treatments and consistent homecare rather than a single appointment.

Before-and-after images used by SKN by Amy Cole represent individual client outcomes and should not be taken as a guarantee of identical results.

Aftercare

You are responsible for following all verbal and written aftercare advice provided. These are emailed to you post treatment but can also be viewed here.

Failure to follow aftercare instructions may increase the risk of irritation, delayed healing, pigmentation changes or other unwanted reactions.

Please contact amy@sknbyamycole.com as soon as possible if you experience an unexpected or concerning reaction following treatment.

Illness and infections

Please rearrange your appointment with as much notice as possible if you are unwell, have a contagious illness or have symptoms that may put the therapist or other clients at risk.

Treatment may be refused if you attend with symptoms of a contagious condition, an active cold sore, an infection or another condition that makes treatment unsafe.

The usual cancellation policy may apply where insufficient notice is given.

Children and guests

Due to the nature of the treatments and the equipment used, children should not attend appointments unless this has been agreed in advance.

Clients are asked to attend appointments alone wherever possible so that the treatment can be carried out safely and without interruption.

Where a guest or child attends without prior agreement and the treatment cannot safely proceed, the appointment may be treated as a late cancellation.

Clients under 18

Treatments for clients under 18 are subject to suitability, age restrictions, insurance requirements and parental or guardian consent.

A parent or legal guardian may be required to attend the consultation and sign the relevant consent forms.

SKN by Amy Cole reserves the right to refuse any treatment that is not considered appropriate for the client’s age, skin condition or best interests.

Courses, packages and pathways

Courses, treatment pathways and packages must be used within the validity period stated at the time of purchase.

They are personal to the client and cannot be transferred to another person unless agreed in writing.

Appointments included within a course remain subject to the clinic’s cancellation policy. Late cancellations or missed appointments may result in the session being deducted.

Any recommended treatment schedule should be followed as closely as possible to achieve the best result.

Payments

Payment is due in full at the time of treatment unless an alternative payment arrangement has been agreed in advance.

Prices may change at any time. The price confirmed at the time of booking will apply to that appointment unless the treatment is changed or upgraded.

Where a different treatment is provided following consultation, the final charge will reflect the treatment carried out.

Refunds

Treatments that have already been carried out are non-refundable.

Skincare products can only be returned where they are faulty, damaged or supplied incorrectly. For hygiene and safety reasons, opened or used products cannot normally be returned.

Prepaid courses, packages, gift vouchers and promotional purchases are subject to the terms provided at the time of purchase.

A change of mind, change in personal circumstances or failure to complete a recommended course does not automatically entitle the client to a refund.

Nothing in this policy affects your statutory consumer rights.

Gift vouchers

Gift vouchers are valid for the period stated when purchased.

They cannot be exchanged for cash and must be presented or applied when booking or paying for an appointment.

Gift vouchers may not be valid against certain promotions, packages or retail products unless otherwise stated.

Lost or stolen vouchers may not be replaceable without proof of purchase.

Photography

Clinical photographs may be recommended to document the condition of your skin and track treatment progress.

Photographs taken for consultation or treatment records remain confidential and will not automatically be used for marketing.

Separate permission will be requested before any photograph, video, review or testimonial is used on the website, social media or other promotional materials.

You may decline marketing photography without affecting your ability to receive treatment.

Respectful behaviour

SKN by Amy Cole is committed to providing a professional, safe and respectful environment.

Aggressive, abusive, discriminatory, threatening or inappropriate behaviour will not be tolerated.

The appointment may be ended immediately and future bookings may be refused where a client behaves inappropriately or makes the treatment environment feel unsafe.

Changes to appointments

On rare occasions, SKN by Amy Cole may need to amend, reschedule or cancel an appointment due to illness, emergency, equipment failure or circumstances outside reasonable control.

As much notice as possible will be provided, and any payment made for a treatment that cannot be rescheduled will be refunded.

SKN by Amy Cole is not responsible for additional costs incurred as a result of an appointment being changed or cancelled.
